Where it does not

What a Zoho implementation actually involves

Zoho is quick to switch on and slow to get right. Anyone can import a contact list and start logging deals in an afternoon — which is precisely why so many Zoho instances are abandoned within a year.

The work that matters is deciding what your pipeline stages actually mean, which fields are mandatory and which are noise, and what happens automatically versus what a human must decide. Get that wrong and you have built a system your sales team routes around.

A typical Zoho CRM rollout runs four to eight weeks. Zoho One, spanning several apps, runs eight to sixteen. Most of that is process design and adoption, not configuration.

Zoho One or individual apps

Zoho One bundles roughly forty applications for a flat per-employee fee, and the arithmetic is compelling the moment you need three or more of them. Buying CRM, Books and Desk separately usually costs more than Zoho One outright.

The catch is the licensing model: Zoho One is priced per employee across your entire organisation, not per user of the software. If only your eight-person sales team needs CRM but you employ sixty, individual app licences are far cheaper.

That single question — all-employee pricing versus per-user — decides the economics, and it is worth ten minutes before you commit to either.

Where Zoho implementations fail

Almost never for technical reasons. They fail because nobody decided who owns the system after go-live.

Zoho rewards an internal owner: someone who maintains fields, adjusts workflows as the process changes, and holds the team to using it. Without that person, data quality degrades within a quarter, reports stop being trusted, and the team quietly returns to spreadsheets.

We build that ownership into the rollout — naming the internal owner during discovery, training them properly rather than lumping them in with end users, and handing over documentation written for them specifically. If you cannot name that person, we will say so before you spend anything.

What a Zoho implementation costs

Zoho licensing is genuinely inexpensive, which changes the shape of the budget: implementation typically costs several multiples of the first year of licences. That surprises people, and it is worth stating plainly.

It is also why Zoho projects are the easiest place to waste money. Paying a consultant enterprise-scale fees to configure a small-business CRM makes no sense. We scope Zoho work in short fixed-price phases for exactly that reason, and we will tell you when a requirement is cheap enough to handle yourself.

Most Zoho rollouts we scope run 6–14 weeks from kickoff to go-live, depending on how many modules you switch on and how clean your existing data is. Data migration is almost always the long pole, not configuration.
